Booth Options

Artisans will be given an 8x8 exhibit space in the Gallery, or 10x10 if a tent outside for the $190.00 entrance fee. If your booth is placed outdoors, we are requesting that you bring your own tent. For an additional fee, the Wildflower Center can provide tables, chairs and electricity.

Be aware that the festival is a rain or shine event. The Lady Bird Johnson Wildflower Center assumes no responsibility for weather damage or theft of artisan merchandise. Some artisans will be in tents outdoors. It is recommended that you bring necessary equipment to protect your booth and artwork in the case of poor weather. Parking is limited.

Rules Governing Artists And Artisans Vendors

Event Location and Times

Wildflower Days Artists and Artisans Festival will be held March 19 - 20, 2016 at The University of Texas at Austin Lady Bird Johnson Wildflower Center. The times are:

  • Set up (scheduled) Friday March 18, 2016, NOON - 5:00PM
  • The service gate will be open at 7 am on Saturday and Sunday for Vendors
  • The Festival Saturday March 19, 2016, 9:00AM - 5:00PM
  • The Festival Sunday March 20, 2016, 9:00AM - 5:00PM

The Center's Visitor Gallery (indoors) and Courtyard (outdoors) will serve as the exhibit area. We ask that you bring your own tent if you are located outside. Set up for the festival will take place on Friday, March 18, 2016 beginning at noon. Take down will take place immediately after the event on Sunday afternoon. Tear down of any portion of the booth by the vendor prior to the end of the festival on Sunday, March 20, 2016 at 5:00PM is prohibited. Vendors may remove merchandise for daily storage after 5:00PM on Saturday, March 19, 2016. We will have security on site from 5:00PM-6:00AM on March 18 and 19. The Wildflower Center assumes no responsibility for theft or damage to vendor merchandise.

Vendor Responsibilities

  1. All vendors are responsible for their own liability insurance to operate at the festival.
  2. All vendors are responsible for providing their own workers in their vendor booth areas. In addition, vendors are responsible for the liability involving those workers, their equipment, and their service.
  3. All vendors are responsible for their own products and supplies needed to operate their booth. No Styrofoam products or balloons are allowed on the Wildflower Center grounds. Tape, wire, staples, nails, glue and smaller items to secure items to Wildflower Center surfaces are strictly prohibited.
  4. All vendors will be responsible for their own trash receptacles and clean up of their own booth areas.
  5. The Wildflower Center makes no warranties with respect to merchandise and has no responsibility with regard to the collection of unpaid accounts, returned checks or the return of merchandise.
  6. To the fullest extent possible by law, the vendor agrees to indemnify, protect, defend, and hold harmless the Wildflower Center, its officers, directors, agents, employees, volunteers, successors, heirs and assigns (the "Indemnities") for all suits, actions, losses, damages, claims, or liability of any character, type or description, (the "Liabilities") arising out of or relating to the performance of services by the vendor, or any employees of the vendor, any subcontractor, or anyone they control or exercise control on, in or about property owned by an indemnitee. No indemnitee shall be liable in any manner to the vendor or any imdemnitor for any injury to or death of persons or for any loss of or damage to property of vendor, its employees, agents, customers, invitees, or others, regardless of whether such loss or damage was occasioned by casualty, theft or any other cause of whatsoever nature, unless caused by the willful misconduct or gross negligence of an indemnitee. In no event shall any indemnitee be liable in any manner to vendor or any other party as a result of the acts or omission of vendor, its agents, employees, or other imdemnitors. All personal property of the vendors shall be at the risk of the vendor only, and indemnitee shall not be liable for any damage to or theft thereof, whether or not due in whole or in part to the negligence of any indemnitee.
  7. Wildflower Center may cancel the festival at any time at its sole option. The only liability Wildflower Center shall have to the vendor in the event of such cancellation shall be their refund of all rental and booth fees paid to the Wildflower Center by the vendor. Wildflower Center shall not be responsible to the vendor for any expenses or lost profit or any other amount under any circumstance.
  8. The vendor is responsible for submitting all applicable taxes directly to the proper agencies.

Vendor Booths

  1. The artisan areas will be set and maintained by the festival workers and volunteers. Booth location will be determined by the Wildflower Center. Security will be provided by the Wildflower Center during the evenings of March 18 and 19, 2016.
  2. The vendor will not be permitted to exhibit any articles other than those approved in the application. Promotion, display and sale of merchandize must be confined to vendor's display area and may not extend elsewhere.
  3. The Wildflower Center will provide the exhibit space only. For an additional charge, the Wildflower Center can provide tables, chairs and electricity. You are required to specify your physical and electrical needs in this application. If you do not request these items in advance, the Wildflower Center will not be able to provide them for you. All other fixtures in the exhibit areas must be provided by vendor (i.e. extension cords, tablecloths, tables and chairs if not requested).
  4. All improvements erected on said space shall be done at the expense of the vendor, subject to approval by exhibit coordinator. All said improvements shall be removed at the expense of the vendor when the festival ends. The vendor is responsible for the space leased and agrees to reimburse the Wildflower Center for any damages that occur in the space leased by vendor.
  5. Motorized access to booths is not available. Access is limited to a load-in area adjacent to the courtyard. Vendors will need to unload their vehicles promptly, and move the vehicles as soon as possible to the public parking area. Some garden carts will be available, but vendors are advised to bring their own dolly/cart if possible.
  6. Vendors wishing to leave a vehicle overnight should make sure that the make and license plate number are included on the application so that the security guard knows that it is a legitimate vehicle.
